Summary:
The People & Culture Assistant is responsible for completing a variety of tasks to support the daily operations of the Human Resources (HR) department (also known as the People & Culture Department) such as scheduling onboarding/offboarding tasks, documenting staff changes, performance reports, helping to facilitate meetings and managing communications for the HR department.
Besides maintaining accurate and legal human resources documentation and practices, members of the People & Culture Department are key in communicating and embodying Total Care's Mission, Values and Culture.
This position has regular interaction with every other department, vendors and all employees; therefore not only are organizing & multitasking skills a must, but an ability to interact with a variety of personalities and people from various backgrounds.
Essential Functions:
? Utilize HRIS software for employment documentation, activating onboarding/offboarding task lists, electronic forms signature and storage ? Order & review background checks for new hires ? Communicate with IT department for security and account creation ? Create and deactivate TotalCare email accounts as needed ? Creating ID badges for new and existing employees as needed ? Oversee birthday and work anniversary celebrations in the weekly company-wide meeting & bulletin email ? Accurately & securely maintain a company credit card and balance the month statement with receipts ? Communicate pertinent invoices to accounting department for payment ? Oversee company-branded clothing shop, including ordering inventory as needed ? Assist in facilitating orientation training for new hires, including set up, making meal arrangements and stocking refreshments in meeting area ? May need to witness and/or assist administrators during disciplinary counseling sessions ? Performs other duties as assigned or requested by supervisor or member of Executive Team MARGINAL / NON-ESSENTIAL DUTIES:
? Assist in facility operations such as (but not limited to) inventory, housekeeping, and disposal of garbage.
? Check and respond to emails in a timely manner ? Attend routine training classes and departmental staff meetings as well as one on one meetings with direct supervisor ? May have to provide back-up assistance to the front office by greeting patients, answering phones, etc.

EDUCATION AND/OR
Experience:
? At least two years of demonstrated work experience with customer service involvement.
? High School Diploma or equivalent required, Associates Degree (or higher) preferred but not required SKILLS REQUIRED:
? Ability to read, write and speak English to converse with patients, vendors and employees ? Able to maintain a polite and professional demeanor while providing excellent customer service.
? Strong judgment and leadership skills as well as ability to be a high-functioning team player.
? Detail oriented with exceptional interpersonal communication skills.
? Knowledge of OSHA & HIPAA standards and requirements.
? Ability to work independently in a public setting using sound judgment in a high-pressure environment while maintaining excellent teamwork skills and a servanthood attitude.
PHYSICAL DEMANDS:
? Must be able to bend, lift, twist, sit and/or stand/walk for 8 to 12 hours daily.
? Communicate with patients and/or fellow staff members who have inquiries; must be able to exchange accurate information ? Must be able to move between work areas, office machinery, and to other various locations throughout the facilities.
? Must be able to see the computer screen and able to participate in training classes where computer screens are referenced or by handouts and/or hands-on training.

Appropriate PPE is provided for such instances TRAVEL REQUIREMENTS:
? Travel between TotalCare facilities for meetings, special events or training sessions arises multiple times within a given month and is considered within the scope of this position.
